This Privacy Policy explains what personal data we collect, how we collect it, why we use it, how it may be shared - including with third-party AI providers when you use NORA AI - and how we safeguard your information when you use the Healix Care platform.

Information We Collect

Healix Care collects the following categories of personal data:

• Appointment information, including scheduled visits, provider details, and booking history
• Health-related information, including medical history, encounter notes, prescriptions, laboratory reports, radiology reports, and uploaded medical documents
• User messages, prompts, and healthcare-related questions submitted through the platform
• Voice input and voice transcripts when you use voice-enabled features
• Usage data, device information, and log data collected automatically when you interact with Healix Care
• Information received from healthcare providers using the Healix Care platform in connection with your care

How We Collect Information

Healix Care collects personal data in the following ways:

Information you provide directly when you create an account, book appointments, upload medical documents, communicate with providers, or interact with NORA AI features.

Information collected automatically when you use the platform, including device type, browser information, IP address, usage patterns, and diagnostic logs.

Information from healthcare providers and clinics that use Healix Care to deliver care and manage your health records.

Voice input captured when you choose to use voice-enabled NORA AI features, which is converted to text for processing.

How We Use Your Information

Healix Care uses your personal data for the following purposes:

• Providing, operating, and improving the Healix Care platform and its features
• Facilitating appointment booking, care delivery, and communication between patients and healthcare providers
• Generating AI-assisted responses, summaries, recommendations, and workflow support when you choose to use NORA AI
• Analyzing reports, documents, and health information to support informational and productivity features within the app
• Ensuring platform security, preventing fraud, and maintaining the integrity of our services
• Communicating with you about your account, appointments, and service updates
• Complying with applicable legal and regulatory obligations

AI Processing and NORA AI

Healix Care includes NORA AI, an AI-powered healthcare assistant designed to help users manage appointments, review reports, access health information, receive healthcare guidance, and interact with AI-assisted healthcare workflows.

When a user chooses to use NORA AI features, Healix Care may transmit selected personal information and health-related information to third-party AI service providers for processing. Depending on the feature being used, this information may include:

• Profile information
• Appointment information
• Medical history
• Encounter notes
• Prescriptions
• Laboratory reports
• Radiology reports
• Uploaded medical documents
• User messages and prompts
• Voice input and voice transcripts
• Healthcare-related questions submitted by the user

This information is used solely for providing AI-generated responses, summaries, recommendations, report analysis, appointment assistance, healthcare workflow support, and related NORA AI functionality.

NORA AI is intended as an informational and productivity tool only and does not replace professional medical advice, diagnosis, or treatment. Users should always consult qualified healthcare professionals regarding medical decisions.

Healix Care requires explicit user consent before personal or health-related information is shared with NORA AI for processing. Users who do not provide consent may continue using Healix Care, but NORA AI features will not be available.

Healix Care works with third-party AI providers that are required to maintain appropriate security and privacy protections for information processed on behalf of Healix Care.

Data Sharing

Healix Care does not sell your personal data. We may share your information in the following circumstances:

• With healthcare providers involved in your care through the Healix Care platform
• With third-party AI service providers when you have provided explicit consent to use NORA AI features, limited to the categories of data described in the AI Processing and NORA AI section
• With service providers who assist in operating our platform, bound by data processing agreements and confidentiality obligations
• When required by law, regulation, legal process, or governmental request

Data Security

Healix Care takes appropriate measures to keep your personal data secure and protect it against unauthorized access, loss, misuse, or disclosure.

Data Retention and Deletion

Healix Care retains personal data only for as long as necessary to provide our services, maintain platform security, comply with legal and regulatory obligations, and support legitimate healthcare purposes.

Account and profile information is generally retained while a user's account remains active. Health and medical records may be retained for longer periods when required by applicable healthcare laws, regulatory requirements, or the healthcare provider responsible for the patient's care.

When personal data is no longer required, it is securely deleted or anonymized. Certain information may be retained where necessary for legal compliance, security, fraud prevention, dispute resolution, or medical-record obligations.

After receiving a valid deletion request, Healix Care will delete or anonymize the associated personal data, except for information that must be retained for legitimate legal, regulatory, security, or healthcare-record purposes.

Your Rights

You have the right to access, correct, delete, and export your personal data. You may also withdraw your consent for NORA AI processing at any time, after which NORA AI features will no longer be available to you while other Healix Care features may continue to function.
